WeFocusBuddy

Terms of Service

Last updated: 1 November 2026 · version 44

These Terms are published in thirteen languages. If the versions differ, the Italian version prevails, without prejudice to the mandatory rules protecting consumers.

The service is operated from Italy under European Union law. If you use it from another country, you do so on your own initiative and local laws may apply to you.

1. The service and who provides it

WeFocusBuddy («Service») is a personal productivity app for booking and running coworking sessions over video, with a timer, a virtual companion and, if you turn it on, an Agenda with goals, exams and a log of your sessions (topic, note and score).

The Service is provided by Daniele Cattaneo, contact info@wefocusbuddy.com. By creating an account or using the Service you accept these Terms and confirm that you have read the Privacy Policy.

Single point of contact for users and authorities under Articles 11 and 12 of Regulation (EU) 2022/2065 (DSA): info@wefocusbuddy.com, in Italian or English.

2. Who can use it

The Service is reserved for people aged 18 or over. By signing up or signing in you accept these Terms and the Privacy Policy, and with them you declare that you are at least 18, as the sentence under the sign-in buttons says.

If we find out that an account belongs to a minor, we close it. If we have reason to believe so, we may suspend access to coworking pending clarification.

3. Account

You sign in with a code sent by email or with a Google or Microsoft account. You are responsible for the security of your email inbox and for what is done with your account. If someone uses it without permission, tell us right away at info@wefocusbuddy.com.

4. Price

The Service is free: we do not ask for any payment to use it. If you want to support it, you can make a free donation from You → Support WeFocusBuddy: it is optional and does not change how you use the Service. If you wish, you can choose what to fund and appear with your name among the supporters: it is only a thank-you, and you can remove it whenever you like. Stripe handles the payment and your card details do not pass through us. No charge can occur without your express consent.

Monthly support. Instead of a one-off donation you can choose, on an optional basis, monthly support: a recurring donation of an amount you choose, from 3 to 500 euros, that renews every month until you cancel it. You start it, and you can cancel it at any time, from the Support WeFocusBuddy page inside the app. After cancellation no further charge is made. Months already charged are not refunded automatically, without prejudice to the rights the law gives you. Monthly support gives no benefits or features: the items to fund apply only to one-off donations; you can also choose to appear among the supporters with monthly support.

5. Coworking: how it works and rules of conduct

With coworking we try to match you on a video call with another real person for a timed session.

The camera. With another person the camera stays on for the whole session: it is the condition for the service to work, and there is no camera-off mode. You do not have to show your face: you can point it at your desk and show that you are working. Inside the room there is a control to switch it off for a moment, meant for something unexpected, not for doing the session with the camera off. With the virtual companion the video call closes and the camera switches off.

If the other person is not there. If nobody is there yet when the session starts, for the first 5 minutes we keep looking for a match while you work. The same happens if the matched person does not enter within the first minute: the app notices on its own and looks for someone else right away, without you having to do or report anything.

If nobody arrives within 5 minutes, the choice is yours:

  • continue with a virtual companion: an illustrated character chosen at random, which you can change during the first 12 seconds after it appears. The app says so clearly: it is not a real person and not another user. If you stay until the end, the session counts in full;
  • look for someone else right away in the next quarter hour: the minutes already spent do not count and the previous booking disappears from the calendar;
  • leave: the session disappears from the calendar and does not count.

The same virtual companion may accompany you when a session that has already begun is interrupted because the other person cancels or does not show up. If the next quarter hour cannot be booked (for example because the server rejects the booking), the session ends and does not count.

Sharing your screen. From a computer you can show the other person a tab, a window or your screen, and stop whenever you want. Only show what you have the right to show, and not other people's data without their permission; before sharing, close what you don't want seen (notifications, messages, passwords). Recording or photographing the other person's screen is forbidden, just like recording the call. The rules of conduct below apply.

The rules of conduct. By using coworking you agree to:

  • behave respectfully;
  • not engage in harassing, discriminatory, sexually explicit, violent or otherwise inappropriate conduct;
  • not display unlawful or unsuitable content;
  • not ask the other person for personal details, such as their full name, where they live, their age or their contacts, and not insist if they do not want to give them;
  • not comment on their appearance or use the session to flirt with them;
  • be dressed as you would be in a public place;
  • use only one account, your own, without sharing it and without pretending to be someone else;
  • not record, film, photograph or distribute in any way the video call or the other person's image or voice;
  • not use coworking for commercial or promotional purposes, or to solicit or lure other users.

Breaking these rules may result in limitation, suspension or closure of access, in addition to any consequences provided by law.

5-bis. How matching works

We try to match you with another person who booked the same time and the same length. People you have blocked, or who have blocked you, are never matched with you. Sessions that come from an invite never change.

How you get matched. By default matching is random: there is no priority and you meet different people each time. In «You» you can choose to be matched first with your «Favourite companions» and, if the question «I study at university» is on, with people who also study at university. Turning on one of these two choices turns «Random» off; if you turn them off, «Random» comes back by itself.

When matching with priorities is on, the match is provisional until 10 minutes before the start: if in the meantime someone books with whom one of the two people has chosen to have priority, your companion may change, and the app tells you. In the last 10 minutes your companion no longer changes because of a priority. Priority goes, in this order, to:

  • people whom someone who turned on «My favourites first» has added to «Favourite companions»;
  • then, for people who answered yes to «I study at university», people who answered yes too.

Whoever turns on no choice stays on «Random» and has no priority. Your answer to «I study at university» is your own statement and we do not verify it. Having someone in «Favourite companions» does not guarantee you will be matched with them, because it depends on who books.

6. Reports, suspension and closure

You can report a session from the app. Every report is read by a person and, on its own, does not suspend any account.

We may limit, suspend or close access to coworking or to the whole account if you breach these Terms, if there is a risk to the safety of other users or of the Service, or if the law requires it. Unless impossible or prohibited by law, we tell you the measure and the reason, and you can challenge it by writing to info@wefocusbuddy.com: where possible, the challenge is reviewed by a different person.

There may also be temporary automatic limits, which are not penalties: for example the pause on later bookings when you do not join a booked session (section 6-bis). These are operational measures, you lift them yourself from the notice in the app and they last no longer than 14 days.

Reporting content or conduct you consider illegal. You can do it from the app or by writing to info@wefocusbuddy.com, stating:

  • why you consider it illegal;
  • where it is (the session or the content);
  • your name and email;
  • a statement that what you write is, to the best of your knowledge, accurate and complete.

If you have left us a contact, we confirm receipt and tell you our decision, with the available means of redress.

If we restrict or close your access we tell you: the measure; the facts and circumstances taken into account; whether the decision was taken by automated means; the basis (breach of these Terms or a legal rule); the means of redress, that is, a challenge to info@wefocusbuddy.com, out-of-court dispute settlement bodies and the courts.

6-bis. Showing up, giving notice, leaving early: the automatic measure

A coworking session only works if both matched people are there. So we ask you to show up at the booked time, to cancel the booking if you cannot make it, and not to leave without reason a session already started with another person.

The pause on bookings. It is the only measure the app applies on its own, without a person stepping in. No user reports another user's absence: the app sees whether you join the session. If you have not joined 10 minutes after the start of a booked session (with «Join», including the waiting room before the start), your later bookings stay in the calendar but are not matched with anyone, so nobody is left waiting for you. When you reopen the app a notice tells you, and you choose whether to keep them (they are then matched again) or cancel them.

  • If you join that same session after the 10 minutes, the pause lifts by itself; in any case it ends at the latest 14 days after the missed session.
  • The pause also applies if you joined but, 25 minutes after the end of the session, no completed session is recorded for that time.
  • Missed sessions and early exits from sessions with real people stay recorded (an exit does not count if the other person was the one missing), but their number does not trigger any other measure. Early exits stay recorded for as long as your account exists.
  • What it does not do: it does not close your account, does not delete your data, does not stop you from using the rest of the app and does not affect sessions with the virtual companion, which remain possible during the pause. It is not a penalty.
  • If you think it is wrong (for example you were connected but the app did not see you join), write to info@wefocusbuddy.com: a person reviews the case and, where appropriate, removes it.

Closing an account and any lasting limitation of access to coworking are never automatic: a person decides them, in accordance with section 6.

7. Acceptable use

You agree not to:

  • use the Service unlawfully or in breach of others' rights;
  • attempt to access other users' data;
  • interfere with the operation, security or infrastructure of the Service;
  • use automated tools to overload it, extract data in bulk or circumvent its limits;
  • resell, sublicense or claim ownership of the Service.

8. Your content

The data you enter remains yours. You grant us only the technical, non-exclusive, royalty-free rights needed to host, store, back up and sync it in order to provide the Service; no other use. You can export it at any time and delete it from You → Your data.

8-bis. Your profile photo and how others see it

A profile photo is optional. When you upload it in «You», we show it as a small thumbnail (128 pixels) to people looking at the calendar and to the person you are paired with: the sentence next to the «Upload» button says so, and by uploading it you accept that it is visible this way. The large photo stays only yours. With «Remove» you take it off everywhere at once, and others go back to seeing a coloured silhouette. In the past quarter-hours of the calendar the thumbnail may appear, without your name, next to the number of people who had a spot at that time, even if you later cancelled the booking (Privacy, point 2-duodecies). With «Remove» it no longer appears.

What you declare by uploading it: that the photo is yours or that you have the right to use it; that it infringes no third-party rights (copyright, image rights, privacy); that it contains nothing unlawful, in particular no nudity or sexual content, violence, hate or hate symbols, minors, or other people without their permission.

  • Responsibility: you are responsible for the content you upload and for its lawfulness. We host it at your request, we do not review it beforehand and we have no general obligation to monitor it (arts. 6 and 8 of Regulation (EU) 2022/2065). You grant us only the technical licence in section 8, limited to showing it to others as described here.
  • Reporting a photo you believe is unlawful: with the in-call report, with the «Someone's photo» option in «Ideas and problems» (with the person's user name) or by writing to info@wefocusbuddy.com, including for copyright or image-rights violations. Say whose photo it is, what is wrong and how to reach you.
  • How we respond: a person reviews every report and we reply as soon as we can, normally within 7 days. We remove without delay anything manifestly unlawful.
  • If your photo does not follow these Terms we remove it and tell you why (section 6); you can challenge this at info@wefocusbuddy.com. With repeated or serious violations you may lose the ability to show a photo to others. For unlawful content the record of the decision is kept for as long as your account exists, and we may pass it to the authorities.

8-ter. The leaderboard and the name you show

The leaderboard has no longer been part of the Service since 31 October 2026.

The name you show in the Service (for example in the calendar and on video calls) must follow these rules: no offence, insults or vulgarity; no names of other people used to pass yourself off as them; no links, web addresses or contact details. A name that breaks them can be reported from "Ideas and problems" or by writing to info@wefocusbuddy.com, and we handle it like other reports (section 6).

9. Intellectual property

The Service, its name, interface, texts, graphics and illustrated characters are protected by copyright and remain owned by the provider of the Service or its licensors. The ambient sounds come from sources whose licence allows such use. These Terms transfer no rights in that content to you beyond personal use of the Service.

9-bis. Ideas and suggestions

If you send us an idea, a suggestion or a report, for example through the «Send us» form, we may use it freely to improve the Service. For what you send us this way, you grant us a free, non-exclusive, worldwide licence with no time limit to use it, modify it and build it into the Service, without payment. This is an exception to section 8 and applies only to what you choose to send us this way. The licence is non-exclusive: the idea remains yours too.

10. No professional advice

The Service's calculation features (averages, graduation base, grade simulators, foreign grade conversions, required study pace, planners, the calculation of billable hours and of the real hourly rate, and every other calculation tool) are personal support tools based on general formulas. They are not an official document nor academic, legal, medical, psychological or financial advice. The rules of your university or employer always prevail: check the results against official sources before deciding.

The Service is not a diagnostic or therapeutic tool and in no way replaces a professional's opinion, including where it discusses focus, productivity or attention.

10-bis. No special categories of personal data in free-text fields

In some places in the Service you can write free text: messages with ideas, problems and other matters, the optional description of a report on a coworking session, the name or nickname you show other participants, the topic and note of a session in the Agenda and, in the site's calculators, the entries you type yourself (for example the description of a work item or the subject of an appointment). These fields are not meant to collect data about your health, sex life or sexual orientation, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, or genetic or biometric data: please do not write it there. If you do so anyway, it remains prohibited to record, film or distribute anything the other person says to you or shows you on the video call (section 5), and you can ask us to delete what you wrote at any time at info@wefocusbuddy.com.

10-ter. Sample images of people

The photos of people shown on the site and in the demo are images generated with artificial intelligence: they do not depict users, customers or reviewers of WeFocusBuddy and do not represent real people.

11. Availability, «as is»

The Service is provided «as is» and «as available», without warranty of continuous availability, freedom from errors, accuracy of totals computed by the app or fitness for a particular purpose. Your statutory rights as a consumer remain unaffected, including the legal guarantee of conformity for digital content and services.

We may modify the Service or parts of it for valid reasons (security, legal obligations, fixing defects, development of features). We may suspend or discontinue it with reasonable advance notice, except for good cause, so you can export your data.

We do not guarantee that another real person will show up in any given session, nor which person in particular: until 10 minutes before the start your companion may change (section 5-bis).

11-bis. The connected calendar

Connecting your Google Calendar is optional and free, and you turn it on and off yourself from «Tu» (You). The events in your calendar are a convenience copy: the booking that counts is the one in the app. They update about every minute, so there may be a short delay; if you edit or delete them by hand in your calendar, the app may recreate or remove them at the next update. We are not responsible for an event that does not appear, appears late or was changed outside the app. Your use of your Google account remains subject to Google's terms and rules. How we handle the connection data: Privacy, point 2-sexies.

12. Conduct of other users

Coworking connects people we do not know and do not vet beyond the declaration of age. We are not responsible for other users' behaviour during sessions. We encourage you not to share personal information, to leave the call at any moment if you feel uncomfortable, and to use the report feature. In case of serious conduct, also contact the competent authorities.

Invites and proposals. If you create an invite link, you choose who to send it to: whoever opens it sees the name you show, the times you propose with their length and time zone, the language of the invite and whether each session is still open or already taken. If you propose a time to one or more people you added to your «Favourite companions» (at most 5 per time), each of them sees the name you show, the time and the length, can tell that you added them and knows the proposal may have reached others too: the link always comes with the proposal, and whoever accepts first takes the spot. There can be only one proposal waiting per person; after three proposals in a row that nobody took, you can't propose to the same person again for one day. Using proposals to keep pressing someone who doesn't take them is harassing conduct.

13. Limitation of liability

To the maximum extent permitted by law, we are not liable for indirect or consequential loss, loss of data due to events beyond our reasonable control, or damages arising from misuse of the Service or from the conduct of other users.

Nothing in these Terms excludes or limits liability for wilful misconduct or gross negligence, for death or personal injury, or any liability that cannot be excluded by law. Mandatory consumer rights remain unaffected.

14. Changes to the Terms

We may amend these Terms for valid reasons, such as changes in the law, security needs or new features. We announce material changes in the app with a notice you confirm; when a change reduces your rights, with reasonable notice. The date at the top changes. If you do not accept them you can stop using the Service and close your account; changes apply only to use after they take effect.

14-bis. Ending the contract and right of withdrawal

You may end the contract at any time, at no cost and without giving any reason, by deleting your account from You → Your data or by writing to info@wefocusbuddy.com. This includes the 14-day right of withdrawal that the Italian Consumer Code (Articles 52 et seq. of Legislative Decree 206/2005) and Directive 2011/83/EU grant to consumers. The Service is free, so ending the contract or withdrawing involves no payment or refund. When the account is deleted, your data is erased as described in the Privacy Policy (section 8).

How to withdraw: at any time with the «Withdraw from contract here» button in «You». You enter or confirm your name and the email address for the confirmation, and send the statement with «Confirm withdrawal». We immediately send you by email an acknowledgement of receipt with the content of the statement and the date and time of submission, and the account is deleted. You can also use the model form below, sending it to info@wefocusbuddy.com.

15. Governing law, jurisdiction and dispute resolution

These Terms are governed by Italian law, provided that this choice does not deprive a consumer resident in another European Union country of the protection of the mandatory rules of their own country. For any dispute with a consumer, the courts of the consumer's place of residence or domicile have jurisdiction; otherwise, the Court of Milan. Before going to court you can contact us at info@wefocusbuddy.com for an amicable solution, and you may turn to the alternative dispute resolution bodies available under your legal system.
